Setting up automatic email using MS proj 98

Hello there,

I'm having some difficulty setting up an automatic email messaging system using MS Project 98.

I find that theres not alot of good resources on the web for it.

I have all my tasks entered, resources assigned, web server set up, but I'm having a problem finding my pop and smtp server info. Im not sure my company uses it, i think they actually use Microsoft exchange server. Is this possible with MS project?

Also, can i use outlook instead of outlook express as the primary method of sending emails, how can i change that?

Thanks for any help I can get, im frazzled with this and very stuck!

Hello msprojectfrazzled,

What type of project information are you trying to email? In terms of sending out project information you have three choices.
1. Print the Report or View and mail/fax it
2. Email Task Assignments to Resources with Workgroup messaging.
3. Project Web server (Project 98)
Note: It is called "Project Central" in Project 2000

If option 2 is your choice you have to install the following on the project managers computer and all the resources computers. "wgsetup.exe" it should be on the Project CD somewhere.

What this program allows you to do is send Task Assignments via any 32Bit MAPI compliant email system. The resources can receive their Task Assignments and if they are using Outlook they can add the Task Assignments to their Task List.

Hello,

I'm still as lost as ever, I've upgraded to 2000 in the hopes that it might make use of Microsoft Exchange Server rather than SMTP and POP protocols, but no luck.

In reference to your above email I need to be able to implement option 2!

What Id really like is a step by step walk thru on how to set this up, I had already seen the online official MS users guide, but didnt find that all that useful.

Once you have installed "wgsetup.exe" on everyone computers. The Project Manager will have to do the following:

Project Manager
1. Make sure all Resources have email addresses
2. In the Gantt Chart View (or whatever view they prefer), select the task or tasks that you want to send to Resources
3. "Tools" select "Workgroup" then "TeamAssign" (There is also a "Workgroup Toolbar")
4. Add any additional information to the outgoing email message

Resource
1. In the "Inbox" will be a "TeamAssign" email message. Open the message and Accept the task ;-}
2. The "Task" will be added to Tasks
