A user informed me the other day that in searching a database for past documents, the search results were limited to the last 2 months. I have since found that this is the case with all our Notes databases. Is this a Domino or Notes problem? Any help in resolving this will be greatly appreciated.

How come you know definitely that you are only shown documents limited to the last 2 months? - We had a similar problem with users claiming that when they search for certain terms some documents are missing from the result set (our document libraries are full-text indexed). We found that this problem is related to how the users search.

For example: A user wanted to locate all his IBM manuals. He entered 'IBM' at the search bar and the documents weren't returned. Then he typed 'manuals' and the documents were found. Entering 'IBM manuals' also successfully prompted the documents. The full-text-index was up-to-date, so we looked at the additional search parameters that are available for full-text-search. Here we found that per default the paramater 'max. results returned' is 250 for all our databases. This was way too low for a search like 'IBM' as the word appears in a lot of our documents. We increased the value manually to 1500 and suddenly the documents appeared. But as we didn't want to change the default parameters of the database we asked our users to enter more specific search parameters.

Hope this helps.

The reason we fell there is something awry with the search is that we can go back to a document 5 months old, which contains the word "drill". When we do a search for docs containing 'drill', this document isn't listed. What parameters do I need to check to assure that these older docs aren't being excluded?

Are your databases full-text indexed? - If yes, then go into the database, open the search bar (via the binocular smarticon) then click on the black twistie on the right hand side. In the submenu you will find a parameter where you can change the number of maximum search results (I don't know the exact word on the button as I'm working with a German client). Increase the value to 1500, type 'drill' into the search field and see what happens.

I have currently no idea for a solution to this problem if you are not working with full-text indexed databases.

Thanks, geier, I'll check that tomorrow when I get to work. I'll let you know how it works out.
