Using Crystal version 7.0 with an Access 97 database

My report is graphing shipping cost for various regions by month. To determine the region, a formula was created to look at the state and puts categories it in to North, South, East and West. Graph works fine.

However now it has been requested that we graph, on the same report, the combined shipping cost.

It seems to me I need to be able to put each state into 2 regions one of them being the North, South East and West and another being the combined region. But I don’t know how to do this.

Help please.

Thanks
Bennie

You can't put a single record into two groups. But, you can create an advanced chart that doesn't rely on any groups. Create a formula that converts your State into the combined region, and use this formula for the 'on change of' field in your advanced chart. Ken,

I’m sorry but I do not understand your response. Are you suggesting that I have one formula to convert the states to the region (this I already have) and another formula that converts the regions into the combined region?

My Formula for the region looks like this:
If State = AR then South
Else if State = AL then South
Else if State = MA then East
Else if State = CT then East
So on and So on

What would the new formula look like?

Thanks
Ben

Ken, All the regions will go into the combined regions.

Let me reword the question.
What is your list of combined regions?

Ken, First thanks for your time.

Let me rephrase the question and hopefully it will answer your question.

The existing line chart shows freight per unit cost per month per region. There are four regions each represented by it’s own bar. This has been done using the chart expert and selecting in the “on change of” box the (1) invoice date and (2) @ ship to region. Apparently Crystal 7.0 will only allow 2 choices here. In the “Show Values” box @ monthly Freight per unit is selected. This is a formula that calculates the freight cost and it in is the group month. The report that the chart is based off of currently has 3 groups (1) ship to region (2) Year (3) Month.

What has now been requested, in addition to showing the individual freight per region, on the same chart they would like to see the total freight cost represented by it’s own line. This is what I have called “combined shipping cost” This should be the total shipping cost divided by the total number of units shipped without regard to the regions.

HTH

Thanks again
Bennie

When you do a group chart, you can only do "on Change Of" using your existing groups. If you do an advanced chart (what V7 calls a 'detail' chart) then you can put in "any" on change of value. You might experiment with that.

But it sounds like you want 4 bars, and on the same chart a line showing the total of the 4 bars. I am not sure that CRv7 would support this - if so it would take quite a bit of work. CRv8 has more flexibility when it comes to charting. Ken Hamady, On-site Custom Crystal Reports Training & Consulting

Ken, actually we were wanting to have 5 lines, one for each region and then the total. Again, thanks for your time

Perhaps I will load up version 8.0 and give it a try on that version
