restore paragraph styles in Word (for Mac 2011)

Hello

i have a document that is currently a 'travelling draft' between two sets of companies. The document is meticulously set up to use user-defined styles for every paragraph to ensure that automatic outline numbering and cross-referencing work painlessly.

unfortunately it has been garbaged by the other reviewers.

Is there an (easy) way to restore each paragraph to the format defined by its style?

I'm using Word for Mac 2011.

Easy? That's relative.

I've resorted to VBA in the past for similar efforts. The following were written for Windows Word 2003:

You will of course need to modify accordingly.

This was largely done with the macro recorder by recording the process of defining the full hierarchy of headings and styles.

Ah. thanks for the reply but I think I must not have explained properly.

all my user defined styles are in the document and unsullied. the other side have applied separate paragraph level styles to each paragraph. essentially changing the font and font-size.

the 'solution' for this round has been to use the task pane. select a mucked up para, click select all and then apply the proper paragraph style. this is not terrible as there are only 20 or so build in styles.

but the draft is likely to be exchanged a number of times so I am still looking for an automated solution.

unfortunately the macro recorder does not register the 'select all' click.

playing with the object model this code works well in undoing the worst of what the other side have done, but for some reason it does not apply the list style that is associated with the relevant styles. but that's only an extra click so not terrible.

can you suggest improvements to this?

A simpler solution would be to apply formatting restrictions to the document, so that only your 'approved' Styles can be used - with the formatting you've given them. That way, there's likely to be much less post-edit cleanup to be done.

Ignoring the lack of etiquette that might be perceived in applying a lock to a document that's a travelling draft between lawyers; how might this be done? It sounds very tempting!

My apologies. That was lazy and I have found out how to apply this restriction

I will investigate whether the restriction is honoured in earlier versions of word and also whether it restricts character level formatting.

There is an etiquette issue involved but that can I hope be assuaged with an explanation

Go to Developer>Restrict Editing. The first option that appears in the panel to the right is 'Limit formatting to a selection of Styles'.

If anyone should know there are rules governing how things should be done, it's lawyers (yeah, I know, they're the same people who think they should make the rules).

The Style restrictions don't prevent character-level formatting or someone changing the format of a paragraph to look like something completely different. It does stop them using other Styles, though, and that's half the battle. And, if you check Word's 'automatcially update document Styles' option, any changes to the paragraph formats will revert next time the document is opened. I'm sure there'd be a few howls of protest about that, but lawyers should take the time to learn to use their tools properly too.
