Recurring tasks

We just getting ready to switch over from Outlook to Goldmine. One feature I regularly use in Outlook is the recurring tasks, with the feature to recur 2 months after the task is completed. (Just because it's due today doesn't mean I can actually get it done the same day!).

Is there a way to handle this in GM?

Oh you want to know how! Sorry late night attempt at humor. Been one of those days.

Any Activity in GoldMine except for To-Dos can be set to re-occur. When you schedule an activity click on the recurring tab.

Hint if you enter a letter A, B, C etc. in the time field it will change to priority and put on your task list instead of in your calendar.

Thanks for the info (and the late night humor)!

I know you can set any activity to re-occur, but can you set it to re-occur 2 weeks after it's been completed, not necessarily 2 weeks from when it's due? For example, I have an activity due March 1. If I schedule it every 14 days, it comes due March 15, March 29, etc. Let's say I can't get it done until March 8. I don't want it to come back up until March 22, not on the 15th.

I use my tasks a lot in Outlook for inventory reminders. If I have a department set up to count every 2 weeks and it can't be counted right away, I want to be able to have it due 2 weeks from when it actually got done.

Any other ideas?

I guess I need a little more help.

I've gone in the Automated Processes Center & created a new process called 'Recurring on close'. I wasn't sure what to use for a process code (there is not a list), so I used RC & chose to allow users to attach this process.

Then I added a sequential event, with 'Recur on close' as the description. The trigger I chose was 'immediate', but I'm not sure what to use for the filter. I figure it's got to be Closedate = today (or Date() or something else??), but I'm not sure of the format.

Am I on the right track?

This will require the use of pre-defined macros in GoldMine my suggestion would be to seek the services of a local GoldMine Partner.

Sorry it took so long for me to get back...

That's our problem; out local partner isn't getting the job done. It's been 2 years & we don't even have Goldbox updating our data automatically.

So I'm going to have to learn how to do some of this myself.

This message board has been great helping me learn Access & vb programming, so I hope the same can be said for Goldmine.

I see where you can go in & record a macro & also where you can edit it, but I can't see how to edit it.

Probably, until I get some more training, I'll just not set up any as recurring & put some kind of code in that when I complete it, I need to schedule another X months out.

You're on the right track with your AP. You would probably want to have it trigger, initially, on the completed activity. I'd sugggest setting up an AP scanning process in the middle of the night that rolls trough and looks for completed calls and goes ahead and schedules the next one(s).

Note that your GoldMine partner doesn't have to be in Ohio to help you. Let me know if you might like to talk about getting some more training or set this sort of AP stuff up for you.

I'll keep you in mind. Right now, we've got to finish getting up & running intially, which means I'm stuck. After that, we're going somewhere else. I'll definately keep you in mind!
