R5 automatically forward e-mails?

I have a user who wants to forward all incoming mail messages to an external e-mail address. I know there is a RULE in R6 to do this, but we will not be upgrading to R6 anytime soon (very large company--implementations take a LONG time).

Does anyone know how to forward a copy of mail messages in R5?

Thank You!

You can always write an agent to do it. Create a New Agent, specify that it should run after new mail has arrived, choose Simple Agent and the option Send Mail Message. You can then specify the forwarding address, and put a copy of the mail in the forward.
After that, all you should have to do is ensure that the original message will be taken care of correctly, else the mailbox gets filled with unread messages.

Pascal.

Also set the subject to 'formula' and enter 'subject'. This would put the original subject line back in again.

I did exactly as you said. After completing, I made sure the Agent is enabled. But when I send a message to that address, nothing happens. I thought it is supposed to run "After new mail arrives". Does someone have to be in Lotus Notes looking at their mail in order for the agnet to run? What triggers the agent to run and where does it run?

Thanks

On the person Doc there is a Fowarding address field that will foward the emails. The only bad thing is that it doesn't keep a copy in the persons nsf.

Mike--yes, I filled out the forwarding address to be my hotmail account (for test purposes). I clicked on , clicked on "include copy of document" and saved the agent. I made sure the agent was "enabled". It is set to run "After new mail arrives". I have sent several messages to the Lotus Notes account where this agent is setup. Nothing has been forwarded to my hotmail account. I'm wondering what triggers the agent to run. Does the agent run on the server or on the client? Does the client need to check his Lotus Notes mail in order for the agent to run?

Started running agent 'Forward Mail' on 07/15/2005 01:41:07 PM
Running on new mail messages: 1 total
Found 1 document(s) that match search criteria
Sent mail for 0 document(s)
Done running agent 'Forward Mail' on 07/15/2005 01:41:07 PM

If I leave the search window blank I assume the agent will run for all new mail messages. However, I added a search term for the agent to look for mail messages containing the word "test". I then sent the Lotus Notes account a message called "test" and the mail was forwarded to my hotmail account.

The question is now--how do I get this agent to work for all messages?

The couple of people we set this up for we didn't need to setup any agents. The server would get the incomming mail and just foward it to there external email address.

Sorry, I think we're talking two different things. What I am trying to get working is setting up and agent that will receive a message in Lotus Notes and then forward a copy of the message to an external account.

What you are describing is setting up a forwarding address so that all mail messages go to an external account without anything ever coming to the person's inbox.

I need the mail to go to two places: Lotus Notes and the external address. It is possible to do this using Agents, but for some reason the agent is not working--so that's where I'm looking for the help.

I "think" the notes client needs to be open for it to run when new mail arrives. Have you tried running the agent on a schedule? maybe once an hour. that can be run on the server

I actually thought about that--but if the e-mail is urgent, I wouldn't want my client to miss seeing it for an extended time (or having the agent run every 10 minutes either). But before I resort to doing it on a schedule, I'm really trying to figure out why "After New Mail Arrives" does not work--because that is supposed to work.

Do you have the authorization to run scheduled agents on the server ?

Pascal.

CharlieIT. Incase there was any misunderstanding (as I can see it could be read two ways). When Pascal asked 'have you the authorization', he meant have you been granted that permission on the server and not just 'are you allowed to do this'.

Do other agents work (eg. OOO agent)?

Examine your server record - who can access server portion, and make sure that the server where the agent is running is listed in that field.

(Mike FYI- if an agent is set to run after mail arrives the client doesn't need to be open).

Does the agent run correctly when you start it manually ?
If so, try rebooting the server. Sometimes Domino just needs that to take into account new scheduled agents.

Does the search window "reqire" something in? Instead of looking for a word in the subject field, can you have it look for a name in the "To:" field? Then fill in your name - at least your email address - everything infront of the "@"

I use R5 and run several of these agents and use multiple searches on each one depending on where it's going. Your email does not have to be open for the agent to run "after new mail arrives".
