Quotes - items not in our DB

All our sales reps were using whatever quote system they felt like, and we are trying to get everyone on board to enter quotes directly into GP.

There are some concerns however.

As it stands, all part numbers are REQUIRED to be in the system, and the Sales Transaction Entry screen forces you to Add the part number if it doesn't exist.

For orders this is fine.

For quotes, however we want the user to be able to enter anything - as we don't want our database full of items we never order.

Anyone have any thoughts on how to do this?

Question for you - what happens when a quote with a non-inventory item becomes an order, does the item get created in inventory and the order typed in from scratch?

If so, you could allow entry of non-inventoried items in SOP with a password. Even if everyone has the password, being asked for it would alert someone right away that they are entering a non-inventory item. This solution is free, but places emphasis on training and the users being responsible enough to make sure they do not enter non-inventoried items on anything other than quotes. You would also need to test to see what happens when transferring from a quote with non-inventory items to an order, in case someone tried that.

If you need something more 'controlled' you are looking at a customization that would only allow non-inventory items on SOP quotes and no other documents.
