Purging ES data

Good afternoon....

I know that Exact does not officially support purging any GL data within Macola ES....as most things are calculated on the fly.

However, has anyone ever considered deleting information out of the tables and then creating "opening balance" entries for whatever accounts necessary to keep the GL happy?

So for example, say I would like to delete GL/AR/AP information prior to 1/1/2006.....could I go out and purge BankTransactions/gbkmut/amutak/amutas/etc with anything prior to that date....and in order to keep my GL happy, could I create an "opening balance" entry for each account with a date of 12/31/2005?

Would this even work?

Thanks

Jen

Jen,

That *might* work, but remember your AR and AP agings are also based on the gbkmut table. There are also corresponding records in the banktransactions table.

If you do this definitely try it in a test database first.

Have you asked Exact this question and if so what did they say?

I haven't approached Exact yet....since they made changes to the support side of things a couple years ago, I no longer have direct access to anyone.

My thought on this that leads me to believe it might work is to purge any entries (so invoices, payments, discounts, etc) for any open item that has been fully processed prior to a certain date. So with all BankTransactions entries as well as the actual GL data in gbkmut/amutak/amutas deleted, I would *think* this could be achievable. Almost like it never happened.

My intent would be to make an "archive" database that we could refer to as necessary, purge the info out of the live data, and work with a much smaller database.

The fact that Exact hasn't done this to now is a bit crazy....my GL data is over 40G in size right now. Processing checks, cash receipts, etc is painful....there has to be a better way.

Jen,

I m unfamiliar with the changes you say Exact has done with support. Care to elaborate?

Hi Don....

The changes I'm referring to are discontinuing 6-packs of support incidents.

I cannot justify paying 10% of my Macola installation value just for the chance to ask 3-4 questions a year.

I don't mind paying something reasonable to be able to gain contact with Exact....but 10% is a bit over the top for me.
