Procedure for Handling Ex-Employees GroupWise Accounts

IS there a standard procedure used for managing the GroupWise accounts of former employees? We want to be able to access e-mail and documents created by these employees, but we don't want address books, etc. cluttered with user IDs of of old employees.

I suspect the solution is simple and I am just being dense.

Eventually, you'll want to delete the old accounts. They present a security risk. In the mean time however, here's what you can do:

1. Change the user's password and log into their mailbox.
2. Change the proxy settings to allow the appropriate individuals access to the account. Have the proxied individuals forward to themselves any emails they want to keep.
3. In ConsoleOne, access the user's account and set their "Visibility" to "None". This will prevent their email account from showing up in the system address book.

In lieu of step number 2, you could log into the old account and "Share" the appropriate folders with the appropriate users. Those users could then drag whatever emails they want to keep to one of their own folders.

After everyone has had ample opportunity to pillage the account, DELETE IT!

Don't forget to remove the User account from any Distribution Lists, keeps unnecessary mail out of the Inbox.
