Problems getting TopN to work on a Group with Summary

Hello,

I have a few subreports, but one in particular needs to be set-up so I only show the Top 3 bids which have a status set to Outstanding. I have grouped this subreport by Status, and am only showing Outstanding. I have a BidTotNum field which is a number field which does a sum. I then go to the Group Sort Expert and select TopN, with 3 and the field is BidTotNum, but when I preview it, nothing happens. It displays all the bids which have a status of outstanding. The group footer displays the Grand Total...

Does anyone know why I cannot get TopN to work? I really need to find a solution so any help or advice would be really appreciated.

The bidtoNum field you say is set to sum, what if you did count? and picked up the top 3 that way?
 
Thanks for your response, I will test this, but I do need to display the Top 3 Outstanding bids by Bid value, which is BidTotNum.

so....

Bid 1 Outstanding 21.00
Bid 2 Outstanding 20.40
Bid 3 Outstanding 8.00

Grand Total = 49.40

The grand total is what I am after.

Are the numbers in your example (21, 20.40, 8) the sum of a table field placed in a bid group footer? If so, make sure that when you go to topN you are selecting the tab for the bid group.

To get the grand total, insert a running total sum of the field you are summing at the detail level.

The Numbers (21, 20, 8) are Total Values of 3 bids, which are the Top3.

The (49) number is the grand total of the top 3 outstanding bids (21, 20 and 8)this is not calculated at the moment as I'm having problems getting the Top3 bids to display. This is where I need the help.

I have lots of other bids which are being displayed, I just want the top 3, then to total them together to get an overall amount for top 3 bids.

Am I making sense, really sorry if I'm not.

Please describe your report structure, i.e., groups. I can't see why this isn't working for you.

After inserting the sum on your bid amount field, you should be able to go to report->group sort->make sure you are in the bid tab->select topN from the dropdown->choose 3->select "sum of table.bidamt"->uncheck "show others". This should give you the three values in descending order.

Is it possible that you have some conditional suppression on the bid group section? Or do you have a group selection formula?
