Policy for Signing Out Notebooks

Firstly, I hope I am posting this in the correct category, if not I applogize and please inform me where it should be.

I have several notebooks that users sign out for either travel or for board/conference meetings. Currently the come by and ask or open a ticket in Trackit and my techs set them up. I am wonder if anyone uses any other products or applications. I was thinking would it work in Outlook in setting the notebooks up as a resource or within our internal portal putting up an excel spread sheet to everyone can view the status of Notebook# 4 which will display, who has it signed out, when will it be returned etc, etc.
Any thoughts?

I think an Outlook resource would be a good way to handle it.

we use Notes Resources for our laptops (and projectors); it works well.
