PO QTY Remaining problem

Somehow, some items on received PO's "suddenly" have amounts in the qty remaining field after that item is fully received.
A case in point is the before amount was 36 an the qty remaining is 36 on 20050726 @ 110204. The changed amount is 36 (received) and the qty remaining is now 0 and the same date and time as the before.

But on 20050728 @ 103320 the before is 36 received, 0 qty remaining and the changed amount becomes 36 received and 4 qty remaining.

Where did that 4 come from?

We have more than a few of these but certainly not every item. This one PO had 3 out of about 25 items do this.

We found that if we touched the file by changing the amount received, printing the PO and then changing the amount back and printing it again, it corrects itself and the qty remaining is now 0, which is correct.

How do I prevent this from happing and if that is not possible, how do I clean these files up?

We are on 7.6.100a and SQL 2000

Provided that it is, I would write a SQL script to update the qty remaining to the proper number. Then watch this like a hawk to see if it ever happens again, and maybe you can see a pattern develop of when this is happening.

You could set up a trigger on the POORDLIN_SQL table that would write an audit record to a seperate table (one that you created) anytime the qty remaining goes FROM 0 to another number. You could capture information from the before and after including the user logged in and the network user, datetime stamp etc.. Even email you with the information when it happens. It will help in tracking a pattern to see why it's happening.

Yes. I ran a Crystal to check that and did find about 25 or so items(out of thousands of items)and they are all related to specific group of materials that we use in manufacturing (not a Macola process-we gave up on that some time ago).

I will look into the script idea and will also search for others like this.
