Partial unprotect or other suggestion

I have created a document that has text form fields. The document is then protected which stops users of the document changing the layout but allows the input of information.

The problem with protected documents is that you cannot add an image (e.g. Insert > Picture > From File > Greyed out)

Is it possible to have a partial protection on a Microsoft Word document, perhaps the last page of the document that would allow us to achieve this? I am reluctant to allow the document to be unprotected to add an image for obvious reasons, more so to keep the document consistent.

We are using Office version 2003.

Any suggestions would be appreciated

Thank you

Yes. You can apply Form Protection only to selected Sections if you wish, so make where you want to do this a separate Section. When you have multiple Sections in your Document, you will get the option to Select Sections to protect (in the Task Pane in 2003, other places in other versions).

Enjoy,
Tony

Thank you for the quick reply. This is new to me, could you please explain in a bit more detail how you achieve this. I have tried highlighting some of the document then protecting it, but that doesn't work.

Add a second Section to the Document (Insert > Break > etc.) at the end, perhaps, but wherever you want it (you may need to break the document into more than two sections eventually, depending on how it is arranged). When you have more than one Section, and you then Protect the Document for Forms via the Task Pane (not the shortcut button on the Forms toolbar - what version of Word are you using, by the way?) you will see an extra link on the Task Pane - "Select Sections" - click on it, and select the Section(s) you want protected.

Enjoy,
Tony

I'll try out your suggestion over the next few days (when I can get my head around it!).

We are using Office version 2003.

Thank you

Tony, while it is true you can have some Sections protected and some Section not protected, at least until 2007, if a document is protected for forms even if it has unprotected Sections, you still can insert picture. It I still greyedout, even for the unprotected Sections.

The manual blockage of certain actions is global.

I do not know about 2007. Perhaps this is not the case.

OK, reading 'can' as 'can't' .. I don't see this at all. Tried in 2007, 2003, and 2002 and it all worked as I expected - pictures could be inserted in the unprotected section.

Enjoy,
Tony

I think I pulled a Tony, and did not fully check it out.

<grin> Just kidding.

Yes, you are of course correct. Many other things remain greyed out, but Insert > Picture is not one of them.

Doh. My bad.

In fact, I can not seem to duplicate what the OP states:

"The problem with protected documents is that you cannot add an image (e.g. Insert > Picture > From File > Greyed out)"

No matter what I do, Insert > Picture > From File is NOT greyed out.

Hi guys

sorry for not posting back yet but haven't had a chance to try this out yet. We hope to have a look at it over the few days.

I was hoping you would laugh. It was definitely and respectfully intended to do just that.

When you protect a document (using 2003) it is not possible to insert an image unless there is something I'm missing here, hence the reason for the question.

As I type, we are trying to set up the partially protected document so we can insert an image.

I'll post back.

Just an update on this thread, what we did in the end was to continue protecting the document, but used a form field with help (F1) on how to unprotect, add an image and then protect the document.

We tried this with a few users, all of which understood the concept.

Thank you for your posts guys.

Hi KB,

Unprotecting the whole document allows the users to edit anything they like. Having an unprotected Section in an otherwise protected document prevents that - the only editing the users can do is in the unprotected Section.

How does the user get into the unprotected section to add the picture?

Hi Lilliabeth,
How does the user get into the unprotected section to add the picture?
By selecting it. Just to make it obvious where the picture is to be inserted, one might have a MACROBUTTON field there coded as:
{MACROBUTTON NoMacro Click here and insert Picture}

D'oh, when protecting, I didn't click the link "Select sections" so that I could exclude the appropriate section from protection.

I wonder if that is what the OP is missing since he seems to have given up on using sections.
