outlook template problem

I have an Outlook form where I have drop-down boxes. The drop-down boxes are bound and populated from a text file on the network. The text file is a list of employee names which constantly changes. This is working fine except for when they want to archive the e-mail messages sent and review the information periodically. The drop-downs in some cases do not show the choices made because the employee left employment. Any suggestions?
 
Two thoughts:[ol][li]Write a Macro to archive the messages and in that macro convert the drop-down boxes to text.[/li][li]Store the values selected in the drop-down box(s) somewhere in the message, say int the catagories?[/li][/ol]

I am sorry I have not succeeded in answering all of your questions.
In fact, I apologize for not completely answering any of them.
The answers I have however do serve to raise a whole new set of questions I had not previously thought of. In some ways, I am as confused as you are but I believe my confusions are (as always) on a higher plane and
