To use the out of office function, perform the following steps:
Ensure you can run agents: First select the menu option "File" > "Preferences" > "File preferences". On the right hand side ensure there is a tick in the "Enable scheduled local agents". Once this is set, there is no need to do it again.
In the main e-mail screen, click on the Tools icon.
From the drop down list, select "Out of Office"
You will now see a box in the middle of the screen.
The first tab called "Dates". Enter the first day you are out and the first day you are back.
You can also mark your calendar as busy for these dates as well if you wish.
The second tab "Out of Office Message". This is where you can change the subject line and the body of the message.
The third tab "Special Message" is where you can specify certain people to receive a different message from the rest.
The fourth tab "Exceptions" is where you can specify not to reply to some people, not to reply if the subject contains certain words, and not to reply if the e-mail came via the internet.
Once you have setup all these panels, click on Enable. This will setup the agent, so that during these dates, anybody sending you an e-mail will get an out of office reply.
As the default, the agent will only reply once a day to all those who sent you e-mail. This is not really much good. So to change the timing perform the following steps:
Warning.. DO NOT change anything other than what I am going to show you . Doing so may cause your e-mail to stop working or act very strangely.
From the main e-mail screen, select the menu option "View" and then "Agents".
You will see a short way down the screen the "outOfOffice" agent.
First ensure there is a tick in the box to the left of this.
Then double click on this agent.
The second line down is called "When should this agent run?". On the right hand side of this is a small arrow. Click on this.
Scroll up through the list until you see "After new mail has arrived". Select this.
Now shut the agent down the same way as you do an e-mail document (the cross on the right hand side). Save when asked.
This will only need to be done once - ever.
When you get back, you will receive an automated message asking you to disable it. To do this, you go in as if you were setting it up, and the "Enable" button has now become "Disable". Click on this.
