I am working with a student database where I have multiple address records for families due to siblings. I want to produce a mailing label report that selects only one of the addresses. It does not matter which. Thanks in advance for any help.

My method to solve the same problem with siblings in the college is to 'Invoke the query builder on a table' then view totals and 'group by' on the fields which would be the same, tend to pick postcode and next of kin fields.

The result being that Amy and Jane Smith, get one letter posted to Mr and Mrs D Smith.

Hope this helps.

Hi!

Try creating your report using the label wizard and when it asks about sorting, sort on the address. Go into the design mode of the report and open the Grouping and Sorting box. Tell Access that you want a Group Header for the address. Now cut the text boxes out of the detail section and paste them into the Group Header section. Close the detail section all of the way down and set the header section so that it is a tall as one label. You should get a print out that you like.

Matthew:

A question for you. When I do as you suggest and open the query all the records are there. I am forced to group all fields before the query will run. So I am curious as to how you do it. Can you give me some insight? THanks.

Sorry, was rather busy when I replied and did not totaly think the question through. Yes I have Grouped on all fields not just the postcode and next of kin. I think my memory is going.

Matthew

PS Good luck with your endevours.
