Hello

I am part of an LPG company currently testing GP 9 for suitability and need some pointers regarding quantity tracking:

1) I need to track the quantity of gas (KG)in the storage tanks

2) I need to track the quantity of empty (10 KG) containers on site (this item is not sold)

3) I need to track the quantity of full (10 KG) containers on site

When the empties are returned, how is the quantity of empties increased, given the absence of a purchase order?

When a full container is added to that items quantity when an empty is filled, I need Gas to decrease by 10 measures and empties to decrease by 1 measure. What would be the best way of doing this?

If anybody could offer any general advice on how to approach this I would be very grateful. My apologies if I have not been able to explain the situation clearly enough - please ask if any further details are needed.

I would used different item codes to represent these products:
1. gas
2. empty container
3. full container

You could use the Bill of Material to setup a full container with components being:
10 KG of gas
1 empty container

You use an Assembly Entry transaction to assemble full containers from the Bill of Material which will deplete the components from the bill respectively while increasing the Qty of full container.

An Increase Inventory Adjustment can be used to increase the Qty of Empties when they're returned.

A Purchase Order can be used to increase the Qty of Gas purchased.

I had gone down the Bill of Material route but having it confirmed by an expert is very reassuring.

Is there any way of designating the empties as items that are not for resale rather than just setting up a normal Sales Inventory item?

Another problem I am having is that when I process a Recievings Transaction or an Adjustment Transaction the inventory is properly updated in the Quantity On Hand and Quantity Available fields on the item card, but not on the Qty Available column in the Items table. I have searched through the Inventory and Purchasing help files but cannot find where I have gone wrong.

Your help is most appreciated.

 
In order to have the flexibility to track qtys of the empties I think you will need to set them as 'Sales Inventory'. In our case we setup all items as Sales Inventory - even raw materials.

Qty's Available should be updated automatically you shouldn't need to do anything else. I think that this is computed on the fly rather than stored in the table.

Go to Inquiry --> Inventory --> Item

From there you should see various Qty's including Qty Available.

If the Qty Available is still wrong then maybe you need to Reconcile them. Go to Tools -->Utilities -->Inventory --> Reconcile and select to Process.

Then go back to Item Inquiry and check the Qty Available again.

or have them transfered in as returned/in use/in service/ or damaged


you still have quantity on hand but if you train your users to not think of those inventory items as available you can accomplish what you're looking for.
