I need some help with inventory.I am on Progession 7.5 of Macola and I am trying to undertsand the inventory set up. We are trying to develop a simple way to have Macola show us what to order and I am not sure what fields to set up and what fields I leave blank. Also I was told on a couple of occasions not to do the recalculation for order levels. HELP... I don't know where to start. Any help would be greatly appreaciated. We have been using this for a couple of years before I got here and I don't think things were set up right at that time. We have developed a couple of Crystal reports that help a lot...but I am not sure how to use the usage filter, the safety factor and stock, reorder levesl and recommended reorder levels that never seem to be right.

This is a post that goes way beyond what can be answered in a forum like this. You should start by contacting your Macola Business Partner or regional office.

If you do not know who this is or need a referral to someone else, post back with your geographical location in and I am sure we can get you some help.

Well the problem is they are 3 years into this and never got anything set up, now they don't want to pay the support to have the technical help. The books aren't very helpful, I get info but not scenarios that are helpful. I just want to know what the deal is with running the recalc and when it should normally be doen. If we have history and inventory and I populate the fields recommended how will recalc effect everything. It seems to me that it is something not be be taken lightly but not sure why.

"they are 3 years into this and never got anything set up, now they don't want to pay the support to have the technical help"

Are "they" the company you are working for or the Macola reseller?

Your question indicates a need for at least a full day of training on how Macola inventory works, followed by discussions of how to best configure it to work for your company.

I would start by looking at all the options under IM, Maintain, IM Setup. Read all the help files associated with each field and you should get a better understanding of how Macola works.

I also strongly urge you not to install a 3 year old version of this product. Install v7.6.200 or 7.6.100a at the least. Also make sure the demo company "Macola Electronics" is installed and working. This is a great place to train.

Finally, if you tell me what "running the recalc" means, I can try to answer that question as well, but I am not sure what you mean by that.

I understand your frustration lvaleri; but like most ERP applications you need alot of support help. There are alot of resellers of Macola and that is all they do. It is a 24hr a day job just to keep up with the updates, etc. It is sophicated, but easy to use once it is setup properly.

What the question I think you are asking is What does Update Calculate Values do in inventory? First you have to make sure all the fields required are setup probably. It goes through a 7 step process and you "CAN NOT" do this process more than once in a period. Here are the 7 steps as outlined in the help file.

Step 1

l Smoothed Period Usage
l Usage Period-To-Date
l Usage Filter

Step 2

l Sum Of Errors

Step 3

l Average Forecast Error
l Usage Weight Factor

Step 4

l Average Usage

Step 5

l Safety Stock
l Safety Factor

Step 6

l Recommended Minimum Order
l Lead Time
l Average Number of Days in Forecast Period

Step 7

l Reorder Level

One big note; once you do this once; their is no return. Don is right you should get some help; always think about ROI; why not spend $1000 to do it right the first time; instead of costing the company hundred of dollars per day in inventory cost.

Until you've read the manuals backward & forward & really experiment with safety stock, usage filter, weight factors, etc., I would not suggest running recalc values in inventory. You are much better off as a "new" (inadequately implemented) site to create some reordering parameters in your item location file for min on hand, max on hand, po lead time, required purchasing quantities, etc. Get the vendor info in as default, create po item vendor records if you use multiple vendors for one item, have different prices from different vendors, etc. All basic things that a decent macola VAR can assist you with, as Don suggested, with a day or two of training. Once this info is entered, you can then run reorder advice reports to better automate your purchasing. If you have long lead times or need time phased requirements planning, you should move to MRP.
