New Aloha Back of House Prices

I'm going to apologize beforehand if this isn't an appropriate question, but I'm hoping not to get ripped off.
We are replacing an old Aloha BOH that is XP to a Windows 7 ($1,580)

They also want to replace 2 terminals because they are XP? Is that Mandatory? Will the xp terminals not work with the win 7 BOH?
($1730) for each Terminal.

If it's regular Windows XP, then yes you should replace them (PCI Compliancy not Aloha incompatibility) but without knowing the full specs of the terminals, it's hard to say if they have to be replaced or not. Unfortunately those prices look about right as long as the labor to configure everything is figured in with it as well.

Do the terminals still need to be pci compliant if they don't run cc or financial?
 
if the CC touches the terminal at all, it should be PCI compliant. If the terminal is on the same network as other terminals or PCs that handle CCs, then it should be PCI compliant. You say you're running Windows Embedded, see if that is POSReady 2009 which looks exactly like XP. POSReady 2009 is still supported by Microsoft so if you got it, ask a Qualified Security Assessor (for PCI) if that is okay to run. Make sure you throw A/V on them.
 
That does seem rather pricey then, a top end gaming rig can be built for less then that and Aloha generally has pretty low requirements. Just to give you an idea, if I needed a new server it would cost me about $400 give or take to build a decent one from scratch. To configure the os from scratch, configure aloha, and transfer everything over i would be looking at about 2 hours labor max of actual work. Labor rates are going to vary, but anything over $150 an hour seems excessive. Im guessing most companies are probably going to quote you between 4 - 6 hours for this whole job, which will take into account any unforseen issues and if you get an experienced tech or not. Other then getting terminals on ebay or buying refurbished ones, those prices seem fair.
 
Consider that the dealer probably wants to make a small profit and get paid for their time including travel to your restaurant. They will also warranty the PC and terminals for a certain amount of time. The warranty will likely be that they will come out for free and replace the PC if they need to or spend time addressing any issues you have during the warranty period. The PC will also come preloaded with the POS software. Something they would charge for if you provided your own PC.
Of course you can build a PC for less and either load Aloha yourself or pay someone to do it.

i purchased some terminals for 1395 and it came with 3 year warrant from a third party. BOH was 1095.00. i had them stage and load my data and shipped it to me and paid for 2 hours of their support and had them walk me through installing it.
