We just fired up the system and phone and put in the SIP license to get it going. All works fine on premises.

2 things-

1. One is that we wondered if anyone could provide a link or email the recent software/firmware for the system and phone. The phone system doesn't recognize the model and for that reason, we are unable to program the key appearances on the phone.

2. We wondered if it is possible to get this phone working off-premises by using port forwarding at the host location? If so, what ports need forwarding? You would think it should be possible since the phone is a SIP phone.

Please let us know,

Thank you.

You have to register the phone as a IP extension not a SIP extension, don't think that model works properly on the NCP
The NS1000 has a virtual UT card to connect the phones.

We tried initially to register the phone as an IP extension, but it would not register. It says in the documentation that it's a SIP phone and once we obtained the licence, it was no problem to have it register. I was thinking it just needs newer firmware/software for the buttons and of course the right ports to open on the router to have it work off premises. Can it be registered as just an IP extension and if so, what did we do wrong or miss?

I don't think that phone will work as a key set on NCP.

as for open ports, it is possible but I would recommend a VPN as you will have to open ports on both sides and have sip nat on router.

Yes, it seems a shame. After further reading last night, I found it's only supported on an NS-1000 which is the biggest and newest Panasonic platform. The phone does come to life and is functional on the NCP-500, but you can't program any buttons. It registers as a SIP phone. You can place and receive calls, use the internet browser and we didn't check the camera feeds.
