I am about to get rid of my SEND MAIL server (an old internet mail server) and use Domino Mail. In Domino, I will standardize the email address by using the first initial and last name as each users email address. Currently, they are using whatever neame they want as their email mail. However, to prevent any disruption to the users, how can I set it up so that they can continue to receive mail under their previouse (SEND MAIL) address. Is their a way for Notes to temporary (i.e. for 3 months)take mail going to the old user email address and route it to the new Notes email address? Pleaes help.... Thanks.

In the Domino Directory (aka the Name and Address book on the server), you can set up "short names" for users. (In the people section, you'll have to go into the properties for each user). Assuming you are using the same domain name, you can include the portion of the email address prior to the "@" sign in the short names.

Keep in mind - especially if you are using internet logins to your domino server and you don't use good passwords, this can be a security risk (more combinations of a person's name will work as a viable logon name for someone to try and hack in with). It's a good idea to limit what's in the short name list to only what you need - their new email address (first initial and lastname, and the old format).

Thanks RachelD,

If I understand it right, if the old internet address is John@acme.com and the new Notes address is JDow@acme.com, I should enter "John" in the short name is field right. Will I still be able to receive internet mail using the new (jdow@acme.com) address? Also, if password on both adresses are different, will Notes still able to received message for the old address? I don't see a password field for this short name field.

Thanks.

I'm assuming you're not going to be running two mail servers at once, right? If this is the case, and you're getting rid of your old mailserver entirely, then you just want to make sure that if a sender sends mail to the old style address, the recipient gets it in Notes. It's just sort of an alias. This will do that. There is only one password, and that's the Notes password.

We use this for a couple people - when the mailserver was originally set up, we also had a different way of assigning email addresses. So actually some of our people still really have the old addresses, but their short names allow mail to be directed to various combinations. So say we have a guy named Bill Elliot - his original email address was set up as bellio@company.com, but now we post it and print his business cards with belliot@company.com. Both work.

Hey RachelD,

Thanks again. That looks like the answer to my problem. Yes, I will get rid of this old SENDMAIL server once I know how to take care of the SPAM mails. I read a document in Notes.Net saying something about using a simple SENDMAIL server to filter all the SPAM mail and only send the good mail to Lotus Mail Server behind the fire wall. Currently is running outside of the firewall.

So, this is one more thing I need to check.

Thanks
Gene

you're welcome. Spam is going to be a problem no matter what. Go into the domino directory, then to server, configuration. Double click on your server, then router, then restrictions and controls. The "deny mail from" can be used to enter servers that send spam. on the second tab (smtp inbound controls) you can better control relaying. we only allow relaying to a couple domains, because I want to make sure that no spammer is using my servers as relayers. If you go to the last field on this tab, you can specify user accounts that you don't want to receive any mail for, etc..

I recently read something about the sendmail server for filtering, but I don't remember where or what it was. For now, I'm just cutting off known spamming domains (at least the ones who have spammed my users so far).

Hey RachelD,

Me again. Isn't using these restrictions will deny POP users? I assume when you sai "relaying to a couple of domains", you mean your internal domain, correct? Or, does it include other internet domains.

BUT WHAT DO YOU THINK THE IDEA OF USING A SIMPLE SENDMAIL SERVER TO RETRIEVE ALL MAILS FROM THE ISP. THIS SIMPLE SENDMAIL SERVER WILL SIT IN FRONT OF A FIREWALL. THE NEW DOMINO MAIL SERVER WHICH WILL SIT BEHIND THE WILL WILL ONLY ACCEPT MAIL FORWARD TO IT THIS SIMPLE SENDMAIL. THIS WAY, WOULDN'T DRASTICALLY CUT DOWN THE SPAM? JUST A THOUGH...
