MICROS 3700 PCI upgrade

Hello and need some suggestions/recommendations and help as Micros advised that we need to upgrade as we are no longer in the PCI compliance, we accept MC and VI and cash only and is there a cheaper option as the system is fairly new and works well, greatly appreciate any cost cutting advise.

3700 v.4.9
HP DC5700 – Windows XP

• Version is NOT PCI certified as of 10/2013. Would recommend upgrading to latest version, 5.2.
• Windows XP will be end of life and no longer PCI certified as of 4/8/14. Recommend replacing back office with new pc and upgrading the OS to Windows 7.
 
There's no real alternative if you want to continue authorizing credit cards through your POS system. Microsoft is no longer releasing updates for XP and Micros is no longer releasing updates for Res 4.9. This is the main reason they don't comply with PCI requirements - if new threats pop up they won't be addressed.

The least expensive way to go would be getting a standalone CC terminal from your processor for authorizations. It does add a little extra work - checks will have to be closed on the CC terminal and well as the Micros terminal, and you'll have to balance the CC machine totals to the POS totals. However, if you go this route you won't have to worry about the Windows or 3700 version or any of the other PCI standards that apply to the POS system.
 
many thx , as this is an expensive proposition and what happens if I don't as I might have few charge backs that wouldn't be honored or am i missing something ....regards
 
I'm not quite sure what you're asking. Going with the option I talked about won't produce extra charge backs. You'll still be getting valid authorizations from your CC processor. This is the process:

[li]Check is presented to the guest, who hands a credit card to the server[/li]
[li]The CC is run through the CC machine to get an auth, (instead of through the Micros terminal), and a slip is printed.[/li]
[li]This slip is given to the guest to sign and, hopefully, add a tip.[/li]
[li]The server takes this slip and finalizes it in the CC machine.[/li]
[li]The server then picks up the check in Micros and closes it to a CC tender.[/li]
[li]The slip from the Cc machine should be stapled to the check and turned in to management at the end of the day.[/li]

You can use the same CC tenders that you have in Micros now, that way your reports and tracking won't have to be changed. You'll just have to remove all the options on the CC Tender and Credit Auth tabs for them, and create buttons on your pay screen since CC Auth won't work or be needed anymore.

The one things you have to be careful with are making sure the servers/bartenders enter the check total correctly in the CC unit and the Micros workstation, since it won't be picked up automatically anymore.

 
what i meant is if I do business as usual and not upgrade and still use the same system to process credit card ....regards
 
You could mitigate your exposure slightly by upgrading to 4.12 MR1, but you'd still be on XP.

As far as continuing to run on XP, you have several points of concern. Credit card merchants are starting to assess extra "Windows XP" per-transaction fees as an incentive to upgrade. If you are PCI audited, you will fail for running unsupported software and be required to upgrade in order to pass. If you have a data breach, you will have lots of fines to pay and be required to upgrade on top of that. I don't see Micros adding EMV/Chip and PIN support to the 4.x line either, so you will be on the hook for all fraudulent transactions on EMV/Chip and PIN-capable cards starting in October of next year.
