Merlin Mess sales mboxes. 1

Magix r4. Messaging r4 (i think)

Recently converted from Voysys to Magix.
To make it go smooth, i kept the mailbox numbers the same. They have mailboxes for outside sales agents 900-932. I renumbered the trunks (and everything with an 8) to the 600 series. And used up all my available adjuncts.

The problem: I need to make more agent mailboxes, but no more available adjuncts. Is it possible?
 
A little confused by your question. You say you have a Magix system. What modules are in it? Each Magix phone has an adjunct. Single-line phones as on an 016 T/R card do not. I am not sure what you are using the adjuncts for. As for the messaging system - you can set up specific extensions with no phones attached in vm administration to deal with mailboxes for outside sales people. I have no idea why you renumbered your trunks. How many lines, extensions do you have in total? What is the extension numbering scheme?

sorry. There is a 408 tdl, 024tdl, 100dcd and merlin messaging.

I have used all the adjunctsfrom the tdl boards.
 
You can fool the system into beleiving that it has more BOARDS by using the "BOARDS" command, in STANDARD SPM.

I would advise using an 024-TDL as your "Phantom" Board.

That way, you get 48 Phantom ports. (24 TDL & 24 Adjunct)

There are 2 things that can bite you with this design.

(1) - IF anyone ever does a "BOARD RENUMBER" your phantom board goes Bye Bye

(2) Down the road, if you ever need to add a REAL BOARD, unless it's an 024-TDL, you will have the same problem as (1).

Again, I am not sure why you need the "phantom" extensions. If the outside sales people do not have phones on site - rather than using a non-existant phantom adjunct - you can set up voicemail boxes for them to use in the messaging system - just indicate that there is no extension related to the mail box when you set them up. You can use any extension number you want (except a real one with a phone). This way you save your adjuncts for other programming purposes. When an outside caller calls, the AA answers, and they dial an outside rep's extension number, the call will be routed to their mailbox - to leave a message. The outside reps can call in at any time, the AA answers, they press *7 to transfer to vm, and then enter their mailbox # to retrieve messages.

Then when the receptionist answers, how does she transfer calls to these "phantom" mailboxes? The magix doesnt recognize them, so you get the waive off tone....
 
You can certainly make mailboxes inside of the Merlin Messaging and set them up as "without a phone", so the Auto Attendant won't bother transferring outside of the Messaging and go straight to the mailbox.

The problem comes in when you have a live caller that wants to leave a message for someone that has one of those mailboxes. If you don't have an adjunct with the same extension number and covered to voice mail, you can't use Direct to Voice mail, or even Transfer and let it ring/cover to voice mail. The only option at that point is to transfer the caller to the voice mail calling group, wait on the line for the log in prompt to start, and dial *8-XXX for the caller. This is pretty cumbersome for the average user.
 
The receptionist can transfer them directly to their assigned voicemail box# - not the system. Just have her put the appropriate direct voice mail transfer button on her phone. Then all she does is press the button and dial the voice mail box#.

Direct to voice mail won't work unless the extension is in the voice mail cover group (usually 30)

 
I stand corrected. TouchToneTommy is right - the only way to transfer a "live" call would be as he described. So, you may have to go with Merlinman's solution - the phantom 024TDL board. The only cheap alternative I can think of is to buy 1 or 2 MLX-008 boards on eBay and add them to the system. Each board would give you 8 extensions and 8 adjuncts.

If you need to be really cheap - depending on how many unused slots you have - buy 1 or 2 Legend 008 MLX boards ($5 to $10 each), take them out of the Legend clamshell, and plug them in. 2 boards would give you 32 extensions for your sales group.

Could you not also use the old "loop-around' trick with a spare T/R station and trunk port?

Then you just have the attendant transfer the call to the station assigned and follow the AA prompts, etc.

You wouldn't even have to do a loop around. If you make one adjunct and cover it to voice mail, you can point its mailbox to the auto attendant. So you would transfer the call to the auto attendant extension, wait and input the extension number.
 
That sounds simple enough. Boy, we sure get alot of mileage out of those adjunct ports don't we!
