How do you set up MAP-I e-mail sytem for team communication? How are the emails sent out? Is this an automatic feature once everything is set up? If so then how do you set it up? If not, then how do you do it manually?
I recently tried to setup workgroup messages. From what I could tell, everyone has to run WGsetup.exe in order to get project messages. WGsetup.exe is on the install CD and has to be installed for every PC user who wishes to receive workgroup messages. This is easily done manually by putting the exe file on the server. If the organization does not allow users to install programs themselves, this should be able to tagged along with other system management installation tasks automatically. (such as SMS).
The e-mails are set through your MAPI client such as MS Outlook. MS Project will make a call to the API and send e-mails on your behalf after you have confirmed and pressed "Send". I am also new at this, not sure if I have discovered all the features just yet. So far, I can get it to send Assignments, Updates, and get it to automatically update the progress. I don't think it is intended for general e-mail communications; you can only reply to a workgroup message to send back to the project manager who sent it in the first place. I use it to ask for status updates on tasks, mostly. Not sure if it can be scheduled just yet.
Our organization uses MS Exchange server, so all the addresses show up automatically when I select the "Address" button from the resource field. Since I was never prompted to select my MAPI client, I am not sure how it will work with other mail clients. I guess this is another way Microsoft tries to up sell it's integrated solution.
