My users are sending emails to external receipients and they are getting a message back saying their mailbox is full but the person is still receiving the email!

It also happens the vice versa. A person outside sends and email to a user internally and the external person gets a mailbox full messsage but their mailbox is not full

Any ideas!

full" is relative. There are several places where limits can be set for mailboxes. And some of those limits still allow mailflow.

It also depends on how you are determining if a mailbox is really full or not. If you are just checking the contents via outlook, be sure you are counting the SENT ITEMS folder. It is counted in the quota.

To see a more accurate count, you should check the mailboxes in the Exchange store itself via Exchange system manager. There you can see the actual number of KBs.

You can also override the system limit settings as a whole through Exchange System manager, or on an account by account basis using the domain user manager.

Not only that, but you can add the MAILBOX LIMITS column in ESM (in the MAILBOXES view), and that will give you a better view on who is below the limit, getting the alert, prohibited to send, or prohibited to send/receive.
