When a book is adopted and added to the store database, the asterisk will disappear, letting those in the bookstore know that this book has been used in the store before.

If a book in the database does not have an ISBN, our system will assign it a number beginning with MT plus the book number (for example, MT1234). This MT number will go in the ISBN field. (The Master Database assigns all books a book number, which is not the ISBN - this book number is viewable on some screens within MultiTrak.) If an ISBN is later assigned to the book, it will be updated with an update disk and the MT number will be replaced with the ISBN.

To select a book from the list, click on it or highlight it and press [Enter].

Verify all information about the book to make sure it is the correct one. A book added with this option will then be added to the Local Store Database. On the New Entry screen there is a field for Book #, which will be filled in automatically by the system and cannot be changed. If there is no ISBN on the book, the computer will suggest an item number for it, some thing like MA (for manual addition) plus the book #, which is a negative number. For example, MA-1234 for a new book, MA-1234U for a used book and MA-1234T for a trade book. Remember, the system needs the SKU # (which is the ISBN for a book) to find an item, so we need to assign one if it doesn't have an ISBN. If you later get an ISBN for that book, you can go back in and change it.

NOTE: All books added manually will have to be updated by the bookstore. They will not be included in the database update from The Master Database.

ALTERNATIVE SOURCE PUBLISHER

Alternative source publisher is usually a distributor (where you order the book). This information is located at the bottom left of the screen in the master book file.

Examples: Southwestern, Wadsworth, and Delmar are ordered from ITP. Trade books are ordered from Ingram, Baker & Taylor, etc.

When you adopt a book, the alternative source publisher should be entered if you prefer to order from an alternate source rather than the listed publisher. When generating purchase orders automatically, the book will be ordered from the alternate source if one is entered! This is really a preferred source.

Purchase Orders will be generated from this information. It can be added later, but you may forget, so do it while on this screen.

If the book on the screen is the one you want to adopt for the course, select <Adopt Book>. This option pulls the selected title from the system database into the Local Store Database. Receiving, the book will update the quantity on hand. A new textbook will be entered into inventory with the ISBN as the SKU #. A used textbook will be entered into inventory as the ISBN plus the letter U for Used. And if you are working in the trade term (where the term code starts with a T, the book will be adopted into inventory as a trade book (the ISBN will have a T appended and no used book will be adopted into the system.

After you adopt the book, enter the total number of books desired, and then the number of new books desired. Fill in the Estimated Buy Back field to maintain the correct number of books to order.

Ready to Order.
