Lotus Notes 5, how can I users email address etc..

HI all-

We have a user who is going on vacation and would like all the email he normally receives in his Notes inbox to re route to a specific private address that he has setup thru his ISP provider.. Is it as simple as goiing into user preferences and changing the "internet email address" settings to the private one? will that forward emails??

how off am I?

If you want to forward the emails without saving it into the database, you should change the persons entry in the address book (mail system and forward address).
If you like to store it in the database and the forward to the user, you should forward the emails to a email-list with two entries:
1. the mail address.
2. a mail-in-database pointing to the users mail database.

Could do tell me in detail HOW exactly to forward the emails to an email-list with those 2 entries. I'm thinking maybe your talking about setting up a rule but it doesn't look like what your saying to do above.. how essentially do I forward emails to the database with those two entires and where exactly do the entries go? I'm in Notes now for this user and can't seem to figure out how it gets done..

Hi

(I name the person "John Smith" with the Email-Address "John.Smith@mydomain.org" and new forward address: "john.smith@isp.org")

Go into the Domino Administrator and open the server which is managing the names.nsf.



Choose "People & Groups" - Tab.

Open the "People" View and search the person.

Open the persons document (double click or "Edit person")

Copy the content of "Mail File" into the clipboard.

Change the Mail-System to "Other Internet Mail"

Fill the field Forwarding address with e.g. "tmp.John.Smith@mydomain.org"
(But don't save)

Change tha window to the Domain.

Goto "Mail-In Database"

Add Mail-In Database (Button)

Mail-In-name: "tmp.mail.John.Smith"
Description: "temp mail in..." (e. g.)
Internet Address: "tmp.mail.John.Smith@mydomain.org"
Server: The server of the mail-files...
File name: The location you copied to clipboard (mail/jsmith.nsf)

Save this document

Open the "Groups" view of you Address Book.

Add Group (Button)

Group name: "tmp.John.Smith"
Group type: "mail only"
Mail Domain: The domain of John Smith (see persons doc)
Internet address: "tmp.John.Smith@mydomain.org"
Members: john.smith@isp.org, tmp.mail.John.Smith

Save document

Save person document

Hi and thanks..but still not getting all of it.

I'm exactly where u say I need to be:
I found the person I need in PEOPLE & GROUPS tab
I double click on them and now... I don't see how to copy the content of "Mail-file" into clipboard..

Do you want me to just cut and paste that info into a Windows notepad?? Is that what you mean by clipboard? I don't know... I'm looking for a specfic clipboard/copy feature but not seeing it anywhere.. notes is difficult, it really is..

ok ok, I actually figured out how what you meant by clipboard, so I actually am copying his entire record out to the area where every other email user resides right? SO essentially I'll end up seeing 2 copies of the user I need to edit correct? So, assumingly, I'll go into the details of my user (2nd copy) and go to edit the mailfile forwarding address.. Got it (am I right so far? I hope) Now, you want me to not save it and then switch window to the domain.. this is where I'm stuck now.. I don't know how to change this window to the domain.. the WIndows domain? I'm checking every tab to try and find a clue for a domain "anything".. but just don't see it..

Sorry, I'm very new at Notes..

Hi.

It is complicate to discribe. I'm using R6.
In the top of Administrator, you find the menu bar.
A short cut bar.
And above the tabs with "People & Froups", "Files",... you see, which subwindow is displayed. And this displays the name of the Domain. (If your Notes Domain is called "FOO", you can see "FOO Domain".)
And if you open some documents, this bar will be extended.

Hope you can see it.

ok, now where do I see the "Mail-in database" tab? Is it a tab? Can I find in another way by drilling down into notes because I truly don't find a domain sub window.. the only other window thats running looks like an expanded Command Prompt windows that is essentially Notes server running in the background.. here you will see a bunch of SMTP commands scrolling down for various actions taking place.... If I could just find this damn domain window, I think I'll be able to find "mail-in database" and make this change.. I'll need lots of drinks after this episode ofcourse!!! Is there any other way to find Mail-in database??
 
I got it.. I found the mail-in database!!! and made all changes except one.. One more questions then it's Miller time.

When I'm in Mail-In Database.

What address do I type in -Internet Address..
his already existing one? Or the ISP address that he is using while on his vacation??

I noticed in your example above you said to fill in the forwarding address w/ tmp.john.Smith@mydomain.org.. I'm confused.. isn't that where the ISP (external forwarding address) should go? e.g. john.smith@isp.org.. or am I thinking too much into this and just type in his internal ?Coporate notes address there as well.

so I guess what I need answered is..
what true addresses must by typed into the "forwarding address" field and also when I've added a mail-in database ..again.. what true address do I type into where it says Internet Address: his ISP address or his Notes corporate address..

The idea is, that every email for John Smith will be routed to the email-list on your server.
The email-list on your server distribute it to the ISP-Mail-Adress and the mail-file of John Smith.
That's why I configured the person as forward to a list.

The other way is to delete the short names of John Smith and create a list with John Smith email-name. But this means a lot of more work if you like to do this for more than one person.
