Hello,

I'm using Accpac 5.5.
I'm looking for a way of limiting access to customized crystal reports. The only thing I can think of is moving restricted reports in a specific folder and deny users access to that folder using windows permissions.
That's not really practical since I'm using customization directories and do not want users to browse for report files.

Is there another way of doing this? Can Iset a password before I run a Crystal Report?

Sounds practical to me. Users don't have to browse to select the reports if the custom report has the same name as the standard report.

FWIW, what you're asking to do is very strange, I've never had a client ask for it.

OK, lets take the following scenario.

Assuming you have GL security to deny user access to certain accounts. Then you have customized repors which sit among the standard reports say in PO reports.

If I take away the permission to print reports for PO, it will only hide the default Accpac reports. My customized reports are still accessible.
The point of GL security is to deny users access to specific accounts, but if they print the report it does not look at what user is logged on and what his/her permissions might be.
Thats the same with the standard Accpac reports I believe.

So if I have a user that needs access to confidential reports and normal reports, what would be the best approach?

A specific folder with windows permissions is not practical, because I can only assign 1 directory per user per company. Unless I copy all standard reports into this confidential folder as well it won't work. Given there are different confidentiality levels I end up with tons of redundant report files.

Simple. Set that user to his own Customization Directory that only he has access to.

Thanks for your replies.

tuba - this is a very simple solution indeed. And not practical as pointed out already in my previous post as I would than have to copy all non-confidential reports into these folders as well. Sadly this may truly be the best option. Wouldn't it just be easier to have multiple customization directories in Accpac?

ettiene - we actually use report manager, but this module also does not allow to set user permissions for single reports AFAIK. All I can select is either all users or just myself.

No, you would _not_ have to copy all non-confidential reports to these folders. Accpac does this:

1. Check the customization for X report. If found, use it. If not:

2. Get X report from the standard folder.

With Report Manager you can set access for individual users.
