letter of approach (?) any ideas? (help)

Hello all
I have been doing quite a bit of research on sites that we can exchange links with. we are at teh point of approaching these folks but now I am nervous. I know the worst they can do is say no really.
I was wondering if anyone had suggestions about letter structure and key points for such a letter. Nay help is appreciated.
ps. I already know that I need to find sites that doo link or would and all the other junk... just looking for help with the actual approach

Assuming you are approaching them via email, I would suggest not using a hotmail/yahoo/free email address to send the message.

Since you don't want links from sites that are not relevant to your own site, it makes sense to personalise each email and indicate how the link (and backlink if you offer them) will benefit both parties.

A little flattery goes a long way for individual site owners.

Make sure your own site is at least as good as their site (in terms of quality of content, useability, standards compliance and design). Personally, I don't link to sites that are crap.

Include prominent contact details (include a phone number and a mailing address) in your email - you need this to be transparent... you are not a spammer and you have nothing to hide.

Thank you for your reply. Our site is very legit ( ) and I would of course use my email from work here. I also have a coworker that is very good on the phone and she will help with phoning these folks too.
