Customer claims they get a VM led but they haven't been on the phone? In other words they say the phone call didn't ring it went directly to their MM(VM). They don't have DND, I checked that first. I'm thinking they were on the phone at some time and it could be a "late led". The system has only a 4 port card. It's an office environment with 42 MLX sets, Hybred mode, POTS lines to their operator during the day, if unanswered calls goes to the Auto Attendant with the normal choices.
Could I just need to upgrade to 6 ports, or should I be looking in another direction?

The AA is the key to the usage.
If alot of calls are going to AA...you are tying up ports
longer than usual...thus late MW leds. You may need 6 to 8
ports of VM.
 
Circular hunting has always been Avaya's preference for the VMS group. This assured that all VM ports were "excercised" and tested regularly.

However, linear hunting tends to keep the last VM port more available for MWL and outcalling.

This change might alleviate the sluggishness. If it doesn't, then the PBX is already programmed that way, or you definately need to increase your VM port count.
 
If you want to test a little before increasing the number of ports, take the 4th VM port out of the calling group. It won't receive any calls, but will still be able to set the MW lights. It will also reveal if the auto attendant is being overloaded, because of the one fewer simultaneous calls.

Also, I would turn OFF the abbreviated ring, for each of the extensions. Sometimes you get wrapped up in a call and miss the fact that you are receiving another one.
 
Be careful if you take the last port out of the hunt group. If you have two sites networked together using centralized voicemail, only a notification port in an "integrated VMS" style hunt group will light the lights on the other end of the point to point T-1. I did this same thing, than the other end was added to my PBX, the MSG waiting lights on the other end wouldn't work for anything. It was because I removed it from the hunt group. Good luck
