Journal Entry Limit?

Hey all,

As of this morning, my company has made its 950,000th journal entry in GP v. 7.00g12. The limit, apparently, is 999,999.

Has anyone come across the situation where this limit is reached? What will happen after the 999,999th posting? We're looking at hitting that number in approximately 4-5 months.

Do you keep history. If so I believe by removing your oldest year it will free up the Journal entry numbers that were associated with that year.

Where are you getting that the limit is 999,999? Is this documented somewhere? GP 7.0 is no longer supported, and I don't have it installed on my computer to try, but 7.5, 8.0 and 9.0 all allow for an 8 digit GL entry number, which would let you go to 99,999,999.

Another thing to look at would be why you have this many GL transactions. Are they actually GL entries, or are your subledgers posting to the GL in detail? If this is the case, most likely, for this level of volume no one needs them in detail and they are just cluttering up your database unnecessarily. You can probably change your payables and receivables to post to the GL in summary and drastically lower the number of GL transactions you end up with.

The unfortunate thing about this whole situation is that I've been pushed into a position where I will be taking over for someone else, and told to "figure it out" as I am now supporting this product. I am not familiar with GP, technical or otherwise, so frustration is setting in.

I don't know what a "GL Transaction" is; I don't know how the backend is set up. There was no documentation created for any of these details.

A "GL Transaction" is the same thing as a "Journal Entry" that you were referring to in your original post.

Is someone telling you that 999,999 is the limit? Maybe you can find out what their source for this information is?

If you've been 'pushed' into the position of supporting Great Plains, I would recommend getting some training. First places I would look would be your Great Plains partner or the manuals. Although, if you're starting completely from scratch, the manuals may not be as useful as a live resource you can go to for help, questions, etc.
