Metadata Requirement in Sharepoint
We are looking to deploy MS SharePoint to support document management and knowledge management in our consulting business. We work with many clients and run multiple jobs with many of them.
Our clients and jobs are set up in our ERP solution. Client and job numbers originate in the ERP solution.
Our current challenge relates to integration of the client and job numbers into our SharePoint solution – specifically when applying metadata to files being saved or uploaded to Sharepoint.
Worked example
Client: A203 Wakefield manufacturers
Jobs:
J002 COO recruitment
J003 Implementation of ERP solution
J004 CRM scoping exercise
Our consultant attends a meeting with Wakefield manufacturers re Job J003, prepares memo of findings (in MS Word 2007) and wants to save to SharePoint.
Within the Document Information Panel of MS Word, the following metadata is required:
1. Document type
2. Client
3. Job
From a lookup table the consultant selects ‘internal memo’ for ‘document type’.
The consultant should have access to a lookup table listing all our clients – and should select ‘A203 (Wakefield manufacturers)’; the list of active jobs with Wakefield manufacturers should be displayed and the consultant should select J003 (Implementation of ERP solution). This would complete the required metadata for this file.
Alternatively: the consultant may know the job number: J003 (Implementation of ERP solution), may select this job and the ‘client field’ in the metadata should automatically be populated with A203 Wakefield manufacturers.
