Input file to manage Script process

I have a set of Impromptu reports that produces a salesman list using three prompts each. I am new to Cognos macros and need a way that a user could maintain a list of salesman numbers, approx 50, slsm type and possible divisions. Using this list of prompts, the process generates the customers for that salesman, salesman type and division/s. Example slsm = 038, type = 1, div = G,R,L,A. What is the best method that a maintainable input file can be used to produce the selections each time the macro is run. Also each resulting output will be produced as a PDF file and will indicate the salesman # in the file name.

If at some point only certain salesman were to be included, not all, is there an easy way to select from the maintainable list used as input?

How will the script be constructed and how will I construct the input file so the script could use it and still be maintenanced by a user without access to Cognos, she only receives the reports.
