Is there anyway to take a Word document and import it into an excel spreadsheet? For example, I have a word document with a large list of restaurants with the name, address, and review. Can I denote certain fields then import to excel?

Thanks. tG

How are they separated, toughie?

If they're already in a table, you can click inside and hit Table-Select table. Copy it. Paste it right into Excel.

You'll have problems if you have paragraph returns within the table cells. Remove them by find and replace. Replace them with a space probably.

If it's not in a table, but something like this:

Chiaros, 3rd Street, Sucks

Well, then you can select all of the lines. Don't select any of the paragraph returns AFTER the one at the end of the last line. Hit Table-Convert text to table. Then again, copy the table to Excel.

If you can't get it to work for ya, I'll be happy to give it a shot. Just email it.

Here is an example of the (messy) Word document we received from our client. We need to convert it to excel to import into access. Maybe there is a little bit of prepping that needs to be done? We want to take it like this because there are 100's of entries and its very labor intensive!!

Thanks for your help!

What we like best about Akamai Trading is the sign, “Yes, we stay open during lunch.” Like most Lanai shops, it carries a little bit of everything from furniture and home decorative items to souvenir T-shirts, post cards and Lanai posters. Take home a little taste of the island with the Lanai pineapple-papaya jam, guava jam or pineapple-coconut jam.

Kim Dupree’s small, but charming gallerylike gift shop is your best bet on Lanai for a tasteful gadget du jour or piece of jewelry. Dupree carries hand-poured candles, local woodwork, quilting kits and casual clothing and features original artwork and prints from Lanai artists. There’s also 14-karat Hawaiian heirloom-style jewelry and hand-crafted silver.

You're in trouble.

First, it'd be great if all the names only took up one line. Because, you see, the first and second ones will easily be a 5-column layout:

Name---address--phone--hours--comment

You MAY be able to fix some of those names by doing a find/replace. For instance, the third one above would be fixed by doing a search for a paragraph return and a ampersand (&) and replacing it with a space and an ampersand. But if there's only one or two like that, it won't do you much good.

You need to have someone go through the file and ensure that each record will have FIVE lines and each line must be as the column headings I gave. In other words, if there's a phone number on one line and a fax number on another, they'll have to get it onto one line. If you don't have a phone number, I'd but something like XXXXXXX to indicate that there is no data in that field, but you need to make room for it.

When you convert text to table, you must have the same number of fields ready from each record. So you see, if we say, okay, convert and give us 5 columns, and one of the records only has 4 rows (because there's no phone number and no line with XXXXXX to make room for it, then column 5 in that row will contain the name of the next restaurant, and the whole table is thrown off.

I may have to FAQ this after all this, huh?

So, get everybody into 5 lines. Then select everything, again making sure you only select complete lines and no extra paragraph returns at the bottom. Then Table-Convert text to table.
