If the data is repeated how to supress it

I use the Format/ Common Suppress if duplicated. But somehow the data still shows the duplicated data. Is there a way to show only one instead of all... There are just 4 fields.. like Phone no, person name, Person role [in here the person can sometimes be the buyer, the seller or the approver], address. The phone nos are the same. I believe the duplicates happen due to the roles he or she has.. how do I then show only the particular roles? Thanks
 
Hi,
If the same person has a record for each role they have, then the records are not duplicates..If you only want the person to show up once then you could group on the Name and only the first record for that person would be displayed ( you can suppress the detail section and put the phone number and other fields in the Group header.)

If you just want people that have a particular role, then use a record selection formula to specify which one.
