Not sure if this is the right forum, but I'll give it a go.

I work for a construction manager and am working on editing a crystal report for Sage 300. The report is a submittal log that pulls from a few data fields in Sage 300.

Currently, the report only shows the most recent "revision" to each submittal, but in an ideal world, I would like the report to show every revision.

For example- I have a submittal under section 33000. The first submittal is for product data and is submitted on 2/15. I then receive the shop drawings and submit these as revision 1 on 2/17. If I run the report, it will only show rev 1 for the shop drawings, but not reference the previous revision for the product data.

Sage 300 offers a pre-loaded report that shows the entire revision history (so I believe it's definitely possible to fix), however it isn't a crystal report so I can't open it to manipulate so it doesn't do me much good.

I can screen shot the report file if anyone thinks that could help.

Thanks in advance!!

There are two primary places to check for a restriction on which revisions are included:
1) Selection formulas (check both Record and Group)
2) Joins (an inner join causes records to go away

Also you might find that the other records are there but hidden in the details. One method for showing only the last is to sort so that the details are in chronological order and put the fields on the group footer. The group will takes it's values from the last detail, and when you hide the details you only see the last one. Here is an article that might help, since what you are looking for are missing records:

Thanks for your response, Kenhamady!

After further review I don't believe it is a joins issue, but maybe something in the formula selections.

I read through the article and unfortunately, that doesn't fix the problem. I don't think it's an issue of missing records, more just something being hidden.

I believe the answer is somewhere in the group section export, but I can't find it.

Any other advice would be greatly appreciated.
