How to change extension

Hi Telco gurus!

I am complete beginner here and badly need your advice.
Recently was assigned a project to revive abandoned telephone system. Well I would appreciate if you provide me with a link to the configuration manual. Currently one of the problems that disturbs me and some users is changing extension. I followed a procedure left by somebody earlier. It looks like I can assign the person's name to a free extension. Then I save it with the proper buttons and the system seems to update. Finally I reboot the
phone and after it picks up all the settings it still has the old number. Any ideas how to change it?
