How Each User Can Get a Copy of Email 1

Hi,

Does anyone know how I can make sure that each user receives a copy of emails. In this particular instance, at this time there's only one email address, but I need to find a way that any mail sent to this email address is accessible to all users on the network, or at least on this computer.

You failed to tell us what email server you're using, what email client you're using, and how the mail gets to you.

Sorry about that.

Planning to use Outlook for the mail client. Currently they're using Webmail to check for messages.

I think they're using Microsoft Exchange (Windows XP Pro) and the emails that I'm reffering to would be coming from their web site.

If each person had their own email address, it would just be a matter of each getting a cc, but at this point they only want to have one email address.

Create a distribution list in Exchange, assign the desired email address to it, and add the intended recipients as members.

not really a good policy for a company. individual email addresses are cheap and better policy.

Why do you say that, eyec? I don't believe cost is an issue. As you say, email addresses are free (included in the hosting pkg.) I'm assuming that they only want one email address being used for online registrations for the sake of consistency.

Please elaborate.

from a security point of view it is a gaping hole and if your company falls under any Fed or State (U.S.) regulations it could be a problem.

i'm just a little paranoid (who said that)!
 
re-reading your post, do you mean only incoming emails? if so, then i retract what i said.
 
Well yes, that's the main reason for this particular address ... incoming registrations from their web site. They wanted to make sure that at least one person (user) will be notified of a registration immediately, no matter which user is currently using the computer.

Of course, they probably will be replying to these emails, so I can see where that might be a problem ... not knowing who replied.

Maybe we need to think this through a little more.
 
another option would be to set up forwarding email accounts.
some ISPs allow you to have the main email address and assign alias email account names to others.

i use this forwarding to capture comments/inquiries to my website but, i reply using the alias forwarding email address.

if you assign (and set up) each user with one of these you could add some accountability while still using just one master email address along with the distribution list emails.
 
Email distribution list is the way to go, and when a list member replies to the email, it still goes out under their own email address, so no worries.
