I have a client that runs a 25 room lodge. They have a Magix R1.1 with Merlin Messaging R1. They are currently using regular 2500 sets in their rooms. The guests have to dial a feature access code to dial the voice mail and then go through the enter mailbox number and password to check messages. Then it is not well understood how to delete them. This means messages are stacking up from guest to guest.

1. Any idea of a phone model that will better support this environment?
2. Good way to delete messages when room guest changes?

Probably the easiest way to delete the messages - is to go into mailbox admin and delete the entire mailbox - then go back in and recreate the mail box - after the guest leaves. A bit of a pain - but I assume you have to reinitialize the password on each mailbox now - whenever a guest leaves - so this would accomplish both - in one step. As for the phones - having different phones will not allow you to delete/ recreate mailboxes any faster. I don't know if the 2500 phone has a message indicator light - if not than a phone model that does - might at least get guests to erase messages before they leave - but you would still have to go through voicemail admin to reinitialize the password.

I don't know the model number that we have been using, but Avaya makes a single line set with a message waiting light compatible with Partner and Magix, has positive hook switch disconnect, a data port on the back for a modem, and finally has 10 speed dial buttons.

We program one button to dial the voice mail group, pause, then ##20. We program the system to have 0-digit length passwords, so if desired there will be no password checking (for room extensions, put in a password for admin extensions,)

This will log it in and play the first message.

When a guest checks out, you would need to delete and re-create the mailbox. Not too hard, get the steps down and give them a sheet on how to do it. Include steps to log into the particular mailbox and record the name ("room XXX") and the non-password as well.


If you remember the old Merlin Mail, where you could re-record the system greetings, they were great for Hotel/Motel. You could re-record the first greeting saying "Welcome to the fleabag motel's voice mail system. Press the "pound" key TWICE to log in and get your messages". Usually also had to explain what the pound button was, depending on the class of the hotel.
