Groupwise Mail Merge, Address Book Problem

I need your help. We use Groupwise Address Book and merge it into Word to mail about 800 letters out each month to the same people. Everything was working fine with exporting and merging the address book into Word for form letters and labels. We decided that in addition to business addresses we needed home addresses in the address book. Our computer person went in and added advanced fields so we could now put in home addresses. Now whenever we export and begin merging with Word, once we start the actual merge a box pops up asking for Header Record Delimiters. Message reads:

Data fields must be separated from each other by a character called a field delimiter. Similarly data records must be separated by a record delimiter. Use the list below to select appropriate delimiter.

We then select 2 commas, one for the field delimiter and one for the record delimiter and it will work, but then we have to hit return for as many times as there are addresses in the address book X 2. This is about 1600 returns.
When our computer person added in the advanced fields for the home addresses, he wrote them as follows:

Hm: CTY,ST,ZIP

Is the problem the way the advanced fields were added? Can the advanced fields be removed?

Any guidance you can offer would be much appreciated.
