I'm wondering how IP Office and VM Pro handles this: someone wants to record a message and easily distribute it to a pre-defined group of users.

I recommended creating a Hunt Group with the appropriate users, and adding the proper Source # (eg H350) to each user so they can access the message and see a MWI for it on their sets.

Has anyone else come up with a better solution?

Thanks in advance.

There is an example of doing this in the sample exercises on the docs CD. Basically you record the message, then use a command in a generic prompt to forward it on... can't recall the exact command off the top of my head, but look at the samples there is good stuff in there.

That wont work as if some collects the message in that group all others MWI will go out
Basically what you want to do is broadcast a message to users. You will need Voicemail Pro.
example
1. Add a new Module called e.g Sales Team.
2. Add an Edit Play List action and open its properties.
• Change the Token Name to Record Sales Message.
• In the Specific tab, enter sales msg.wav and select OK.
3. Add a new Generic Action and open its properties.
• In the Specific tab, enter extns FWD:207#208##, and select OK.
4. Connect the Start Point and Record Sales Message.
5. Connect the Record Sales Message and Generic actions.
6. Save and make live.
next
1. In Manager, add the following shortcode:
*95
"Sales Team"
voicemail collect
2. Save and merge the configuration with the IP Office.
3. On extension 205, dial *95 and record a message similar to the
following: “Sales meeting on Monday at 9.30 am in the Board Room”.
4. Check at extensions 207 and 208 that they both have the message.

That would be the sample exercise I was referring to... *smile*

Starting in R2.1 the hunt group thing would work, however - you can configure it so each member of the huntgroup has to listen to the message before their MWL goes out.

Thanks for the suggestions, this is great. I will try these soon.

I though that was a new option due for V3.0 peter
Where abouts is it set in V2.1?

3.0 will add two variants on the theme.

As an Intuity mode mailbox user you'll be able to setup and use 'mailing lists'. In fact each mailbox user will be able to have up to 20 lists.

When recording or forwarding a message from your own mailbox you'll be able to select one of your lists or even to another user's list if they've made it public and told you the list's ID number.

The other change is hunt group mailboxes. They can be set to automatically forward any new message received to the individual mailboxes of all the hunt group members. (I can see a lot of psuedo groups coming into existence just to do automatic message distribution if it works).

Hmmmmm... good question IPGuru. As you are undoubtably aware, I don't actually use 2.1 myself... *smile*

I was sure I had read that 2.1 would require all huntgroup memembers to listen to a group message before killing their MWL's. I realise that real distribution lists ain't until v3, but this was supposed to be a workaround. I don't think there is anything to configure (other than your standard HXXX shortcodes) though. Would have to give it a try to confirm, now I can't find that reference in the docs.
