File in use errors

We keep getting an error appear when people open a database (usually a mail file) that says "Server Error: The database file is in use by another program". This happens even if the Administrator tries to open it.

We've checked the server and the file doesn't appear to be in use at that end, so I assume this is happening if the user doesn't close down Notes properly or somesuch, but I really ain't certain.
So my questions are:-
1. What does actually cause this error.
2. Can we prevent it.
3. How do we release the file once this happens.

because someone has opened it in using windows explorer or operation navigator. To fix the problem, drop the user; you can see it using domino admin. After that run fixup on the database and it should be fine
 
Or maybe the backup was still running on the server!

Sounds lik you're backing up your db's on a filesystemlevel while the server's running which might get you into trouble like this and worse.

this method of backing up databases isn't exactly reliable in my experience. either get a plugin for your backup software that will allow you to backup your domino databases or shutdown the domino server during the backup, but that last option is probably not the most desirable solution.
