Fax issue anyway this can be rectified?

Yesterday I tried sending a fax from the fax machine in the Finance department.
when I got back to my desk, our administrative line (519) 925-5105 rang with the ext 3968 it was a fax tone
so I conference/transfer the call to our fax line (519) 925-5108. when the fax came through it
was the same fax that i was trying to send frm the Finance department!!. not sure how this happened.
also when i checked the delivery status of the fax it says that it went through.

transfer recall is set to ?.. any inbound fax could end up on your phone and xfr will send it away as long as the send machine doesn't time out. where did the fax come from?
