I have a 3 page report complete with charts and graphs that I typically view in preview mode and I am looking for a way to export this report to a file that can be viewed by a non-access user.

While viewing the report in preview mode, I right click on the report and select export and then export it to an RTF file. This works but the RTF file does not contain my charts and graphs.

Does anyone have a suggestion on how I can successfully export this report to a file that a non-access user can view or print in such a way that it will include the charts and graphs?

Please advise

Thanks in advance!

Export as a snapshot. A non-access user can download the free snapshot viewer from Microsoft.

Thanks for the reply traingamer-

If when I export this into an RTF format, shouldn't Microsoft Word be able to view these charts? (they do not show up in Word)

Short of doing a copy and paste for each page into a blank word file, is there any other way to dump these reports into a readable file?

Also, what Microsoft viewer might you recommend?

Thanks for you help

Thanks traingamer-

If I were to use this viewer, what file type would I export the file as?

How do I print or saving a report to PDF?

Snapshot (.snp) format - it's one of the built-in choices when exporting a report from Access.

If you have the full version of Adobe Acrobrat (not the reader) then just select Adobe PDF as the printer rather than the existing or default printer. This can be done in the Print dialogue box.

If you don't have Acrobat, there are several free or lowcost programs that create PDF. At home, I use PDF995 which is free (if you don't mind popup ads). In either case, the procedure is the same. You would go to the Print Dialogue box and choose PDF995. You can search for other PDF writers within Tek-Tips or via a web search. If you are printing a lot, you can use the Start Settings Printers and Faxes to make the PDF default and this will send all reports to PDF. Also if you use Adobes version, it puts icons in MS-Office programs so you can print to pdf with a single click.

As a follow-up. Saving to PDF is more flexible to me than snapshot viewer because more people are familiar with PDF and have the reader already installed. With snapshot, the view would have to install the software before they can see your reports. If you have the full version of PDF, then you can combine different reports as well as files from other programs like word and excel into one pdf file.
