We exported some contacts from CRM 3.0, then emailed the spreadsheet to someone outside of our network. This person was not able to open the spreadsheet due to an error saying that the spreadsheet contains queries to external data.

How do we export the data without it trying to read CRM data live ie sending data outside of our network? Is there a setting we can change?

This may bo too obvious - but check that it was saved as an Excel workbook. Our CRM defaults to a web browser copy, which might not be so user-friendly.

We are definitely saving it as a excel workbook.

In CRM 4.0 you have multiple options to export, dynamic or static. You need to export it as a "Static" worksheet rather than Dynamic. If that doesn't work, you should be able to disable the data refresh prior to emailing it outside of your network.

We are using CRM 3.0 and we are choosing Static worksheets with records from all pages in current view.
