ePortfolio - Schedule Feature 1

Hi everyone,

I have a question regarding the Schedule Feature in ePortfolio of Crystal Enterprise 8.0. When I choose to schedule a report to run on an Hourly basis, I specify the hour and minute. For example:

Run Report: Hourly
Report will run every N hours and X minutes
Hour (N): 1 Minute (X): 0
Start Time: 11:00 AM

This should instruct Crystal Enterprise to run the report every (one) hour beginning at 11:00 AM. So the 1st Instance would be 11:00 AM, the second Instance would be 12:00 PM, the third Instance would be 1:00 PM, etc. Is this correct?

My main question is: How long will this last? Enterprise doesn't ask the user how many days this should run for. Therefore, is it correct to assume that the example above will run every hour for one day only?

It's a recurrance, so it will run once an hour until the recurrance is deleted. i.e. it will run once an hour until you stop it, not just for one day.
 
Thanks for replying, chrishaw! I looked but I can't find where you stop the report from running. I currently have one running every hour and I don't know how to stop it. Please advise.
 
In the Crystal Management Console (web-based admin tool), just delete the recurring instance of the report.

When I go into Crystal Management Console (CMS), I click on the report from the Objects Page. From there, I click on the Instances Tab. I see the 6 most recent instances for that report. I have the option to delete any of the 6. Is that what you are referring to?

However I want to stop the report from re-running again and again. I don't just want to delete one instance.

Yes, you're in the right place and the instance you want to delete will have a status of "Recurring". That's the one that keeps scheduling new reports to run.

Oh I see! I didn't notice that; THANK YOU for pointing it out. I deleted the "recurring" instance this time.

Another question, Keith: How come I only see the 6 most recent instances. The report had been running since December 2 so I know there are definitely more than 6. How do I access the older instances? Or are they automatically deleted by Enterprise?
 
dbew is running version 8.0, so the global setting is all he gets.

So does that mean I can't access older instances? Enterprise only keeps the 6 latest instances for users to view?
 
There are settings in the CMC that say how many instances are kept and/or how long the instances are kept.

In version 8.0, you can only set these limits on a global level, meaning that they will apply to all reports in CE.

In version 8.5, you can set these limits for individual folders and reports.

I think the 8.0 default settings are that only 5 instances are kept (not counting the Recurring instances), so when you run the report and it makes instance #6, the oldest instance is removed.

In the CMC, you can change the setting so more instances are kept. I don't remember exactly where it is in the 8.0 CMC, but I think it's in Settings.

The older instances are gone, you can only affect new instances by changing the limits.
