Entering data for multiple contacts simultaneously (?)

I haven't used ACT in about two years and am just catching up again after starting a new job. I'm looking for a way to enter data for multiple contacts simultaneously, and haven't been able to figure out how to do it. I'd like to know what's the best way to accomplish a specific task. We're using ACT 2000 (v.5).

We mail out promotional postcards once a month to our client and prospects base. I want to be able to enter data into a field each time we do a mailing to indicate which mailing was sent to the client(s) / prospect(s). The data would basically consist of a code indicating the date of the mailing and a "Promo Code" (i.e., "Product X Promo"). I need to be able to enter this data for all contacts in the current Lookup at one stroke (I'm printing the postcard mailing addresses from a Lookup.)

Additionally, I need to figure out how to append the data in the field each time a mailing goes out, i.e. I'd do a mailing in August and the field would have the data "8-05 Product X Promo", then in September we'd do another mailing and the data "9-05 Product Y Promo" would be appended to the previously entered data, etc., etc.

Also, I need to figure out what is the best way to have this data displayed and in what type of field; if it's all in one string in a standard field, it could get a bit unwieldy to scroll through the string to see which mailing dates apply to a particular client. It would be better to be able to display the data in a chronologically ordered list. (Can you do this in ACT 2000?) I had a thought that the data could be entered in Notes/History, but I'm not sure if that would be a good solution or not. I do need to be able to do a Lookup based on the mailing Promo Code also (i.e., find all contacts who were mailed the 9-05 Product Y Promo). Whatever type of field and however the data is formatted, I need to be able to perform a Lookup on it.

Can anyone suggest a good approach to achieving this? My time available to research this and study the manual has been limited, so I'd appeciate any help.

Thanks,

Steve
