Email rules and archiving

Does anyone have any ideas on archiving old filed email? We use this system as a sign-up adn keep the inital sign-up import mails. There are about 425K emails to be filed somewhere.....

The only real requirement is that we may need to look at them rarely to verify someone actually signed up.
 
Using v5.7 and earlier:

You could copy out the mailbox.dbf, mailbox.dbt, and mailbox.mdx files to another location for archive and then delete all of the emails before x date. (don't forget to remove the attachments as well, provided they are not linked to a record in the Links Tab) That would eliminate all of the old emails and do the trick. When you wanted to review the files you could use Dave Petonic's BR7 utility (it's free at

IF you are using v6:

Do a full backup using the GM backup utility, then restore it to another location (an archive file hidden from all but your admins) when you need to. GM's licenses are concurrent, so as long as you are careful you won't violate any rules.

Of course, I would strongly suggest you do a backup prior to this as well as test it every step of the way. You may also want to contact your VAR to have them help you if you are in any way not 100% confident in this process.

Also, I haven't tried any of this, but if I were going to try soemthing, this would be my first suggestions. Michael Phipps
