email notification to a group

Hi,
I'm using BO XI r2 and want to use the email notification feature for a report that will be run sporadically.

The individuals to be notified are set up as a group, so I would like to set up the notification so it is sent to the group. It seems like a natural thing to be able to do, but I can't find anything in the documentaion. Does anyone have a clue on this.

The alternative is that I have to enter everyone's address separately, but I would like to avoid that as it becomes a maintenance issue because the group members are not static.

Since your Email system has no information about your XI Groups ( XI ( and CE) uses whatever SMTP service you have access to , it is not a BO program), it cannot use that to send mail..Have your mail admin set up a group in the system's Address book to use ( or send it to yourself and set up forwarding rules in your mail program to send it to others)..

The thing is, though, that all the information for BO to do what I want is already there.

Everyone I need to send notification to has an account in BO. One of the properties of user accounts is the email address, which I've entered.

The appropriate users are members of a group.

It seems like I should be able to reference a group name when setting up notification, then BO would use the email addresses associated with the members of the group.

In effect, BO would replace the group name with the individual addresses, which is what the smtp server would get. Then, if the members of the group change, it should be as simple as going to the notification screen and refreshing the list. That's a lot easier than editing a list of around 50 addresses.
 
You can leverage the BOE SDK to do this (logically exactly what you said above). Or look for 3rd party offerings that have already done the work for you (at a price).

I agree that it would be a nice feature, but being as Email is an optional field it would be hard, generally, to ensure all members get the email.

Your assumption is that BO would design their system to extract emails from their code, then pass it along to your email server. That's no simple task, and there are many of us who send emails to people NOT in the BO system.

It's much more logical to leverage your email system as Turk described, meaning a single admin point.

At the risk of having misread or misunderstood the question (and I'm new to the forum and I was a Liberal Arts major and it's 4:30 am...), I send both notifications and report results to groups of people from CE/BOE XI R2.

The perpetual maintainance of individual users' email addresses in the 200 or so reports I have scheduled became too much and I asked the business partners to create "mail only" Lotus Notes message groups containing the people they needed to receive the notification or report results for each report (In fact, we only send to message groups now). Some groups contain only one person, some contain 10 or more. Then, the business partners maintain the membership to those message groups and I never have to touch the Notification or Destination tabs for the reports. The Lotus Notes message group has to have an internet address (for example, the "Monthly Sales" message group would be "monthly_sales@mycompany.com" on the Enterprise server).

I also had a message group created with me as its only member to use in the From field so that notifications or results that bounce come back to me to correct. All of my reports have failure notifications set up to go to my message group if a schedule instance blows up and since my cell phone has an email address, I send failure notifications to it as a text message. I know a there's a problem before the user has even called the Help Desk. Plus, if I get hit by a garbage truck, all they have to is change the membership of the outbound group.
