Drill Down Totaling Problem

Hi - -

I have a report with several groups that have running totals. All is well in the initial preview, but when I drilldown, the group totals change to reflect only the drill down data, rather than the overall totals - - - - is this fixable?

Ex:

Main preview =

group x 8
group y 2

group z 10

If I drill down on group x, for example, I get the following

group v 2
group w 6

group x 8

group z 8

all is ok, except group z is now 8 instead of 10. Logically, this makes sense to me, but the users of the report don't want it this way.

Any help would be gretaly appreciated.

thanks

Mary

You are experiencing this problem because you are using Running Totals. You can avoid this by creating some formulas that you can then create summaries off of. If you need further help, post some of your running total criteria.

Hi Brian - -

thanks for the reply.

the running total criteria is actually summing a forumla field

the logic of the formula field that is being summed is as follows:
if ordate <> xxxx/xx/xx then 1

(the xxxx is 1900/00/01, or something like that - - - a null value that converts to a date).

does this help?

thanks

Alter your formula by adding "else 0" to the end so that you end up with:

if ordate <> xxxx/xx/xx then
1
else
0

This will return a 1 or 0. You can create a summary off of this field instead of creating a running total. If the formula is on the report, right click it, and choose summary in the pop up menu. Add it to as many footers as you need. If it isn't on the report, choose Insert --> Summary and select the formula name in the second drop down list and choose sum in the first drop down list. You can copy and paste the sum field on report to the other footers as necessary.
